Operations Manager

This position is  responsible for providing the key components to the company’s three year business plan and the successful implementation of the plan, which can be altered and updated each 6 months.  Successful execution of the plan, and company sales and profitability growth could lead to additional company responsibility and earning.

 

Keys to Success for this position:

1-Providing leadership that equips department leaders and their employees to obtain reasonable, but yet well understood goals. The authority and responsibility include spot, dedicated, container, flatbed services, airfreight services, refrigerated, tank and any other services other than agency that might be initiated and managed from the Richmond location.  At some future time, the company’s agency program could be discussed for possible inclusion.

2-Measuring success against goals and providing creative solutions as needed to those items that require assistance.

3-Measure quantitatively and qualitatively the growth of  the employees under direct and indirect management.  Done with a minimum of annual job performance tools as developed by VHI.

 

Responsibilities  include, but are not limited to:

·       Managing within budget guidelines

·        Suggesting and initiating new company services

·        Hiring, training and team building of personnel

·        Overseeing and tracking all delivery exceptions, including claims management.

·        Assisting with Capacity Issues

·        Assisting with customer bids and determining price guidelines to insure
profitability of accounts.

·        Development of a telemarketing program

·        Working with the sales department to call on existing company shippers and carriers, and developing new business.

·        Manage customer service account assignments

·        Manage work schedules

·        Establish and facilitate weekly customer service meetings

·        Broadly market services of VHI Transport using available techniques

·        Introduce alternative modes of transportation to operations

 

Measurements for Success

·        Meeting or exceeding targeted business plan goals

·        Excellent work place morale

·        Successful Management of the budget.

·        Effort, Enthusiasm, vision, and value brought to the company.

 

 

QUALIFICATIONS: The successful candidate shall possess a good character, the ability to work well in a fast paced environment, good telephone skills, high energy, and capable of managing accounts.  Good reasoning and logic, sales and transportation related experience, negotiation skills, moderate computer skills, discipline, ability to be a self starter, ability to multi-task, ability to travel,  and quantitatively measure department and individual performance. It is important that the candidate for this job understands that it is the VHI Transport's desire to foster individual development and to foster an environment of personal growth of individuals without direct supervision responsibilities

CUSTOMER SERVICE REPRESENTATIVE

Reports to the Operations Manager.

This position is responsible for the day to day and minute to minute operation of the company. It is the "heart" of the company's business and one that is critical to the well being of the company. This position touches every customer, practically every day that the company has. It's function is the daily meeting of shipper and carrier needs in the most professional and efficient possible way. To do so the position will:
  1. Maintain the most positive telephone attitude possible and will be trained for the continued improvement of same.
  2. Record all requests from shippers to move freight and carriers to move equipment. Insuring of the complete information gathering of all pertinent data, the storage and recall of same for the best interests of the shipper, carrier and company, which includes knowledge of billable parties of traffic and the company's protection of same according to established company policy. Included will be management of carrier contract and usage, shipper contract and usage and the complete recording of all files of importance. All shipments will be cleared with the director or assistant director of finance for credit prior to handling.
  3. This position will assume responsibility to act in the company's best interest at all times in regard to selling company capabilities and the risk thereof. Any damaged shipment notations will be so noted at time of delivery and recorded using designated forms and then assigned to the "Customer Service Manager" for handling.
  4. The complete management of shipper, consignee and carrier databases that pertain to:
    1. Directions to plants, pick ups, etc.
    2. Appointments needed for delivery, and all other relative delivery information that assists the department.
    3. All carrier data that will interact with out files to assist in the movement of freight.
    4. Rates
    5. Credit extension
The successful candidate for this position shall possess a good character, the ability to work well in a fast paced environment, good telephone skills, high energy, familiarity with computer software, ability to reason well, and capable of managing accounts.
